1. Who we are

Coachsystem / Coach Connect (« we », « us », « our ») operates the Coach Connect mobile application (Android package io.coachkonnect.client). The app allows clients of professional coaches to access their coaching program, communicate with their coach, log workouts, track nutrition and follow their progress.

This Privacy Policy explains what personal information — including Health and Fitness data — the Coach Connect app collects and processes, how we use it, how long we keep it, and how you can request deletion.

2. Data we access and collect

We collect only the data needed to deliver the coaching service. The app does not sell your personal data and does not show third-party advertising.

2.1 Account & identity data

  • First name, last name
  • Email address
  • Phone number (optional)
  • Date of birth, gender (optional)
  • Profile photo (optional)
  • Encrypted authentication credentials

2.2 Health & Fitness data

The Coach Connect app is a coaching and wellness tool. It is not a medical device and does not provide a medical diagnosis. We may access and store:

  • Body measurements: weight, height, circumferences, body fat percentage when you enter them.
  • Fitness activity: workouts, exercises, sets, reps, loads, durations, training history assigned or logged in the app.
  • Nutrition data: meals, foods, macros, calories, preferences and dietary restrictions.
  • Progress photos you voluntarily upload.
  • Wellness check-ins: sleep, energy, mood, stress, questionnaire answers.
  • Goals shared with your coach.

2.3 Health Connect (optional, with your permission)

On Android, if you explicitly grant permission, the app may read selected data from Health Connect (e.g. steps, heart rate, active calories, distance, workouts). We only access the types you approve in the system permission screen. You can revoke access at any time in Android Settings → Health Connect. We do not read Health Connect data in the background without your consent.

2.4 Content & communication

  • Messages with your coach (text, audio, images).
  • Documents, programs and media shared by your coach.
  • Forms, check-ins and signed agreements inside the app.

2.5 Technical & device data

  • Device model, OS version, app version, language.
  • IP address for security and fraud prevention.
  • Crash reports and diagnostic logs (no message content).
  • Push notification token (Firebase Cloud Messaging).

2.6 Optional device permissions

  • Camera & photos: only when you upload a profile or progress photo, or send an image in chat.
  • Microphone: only when you record an audio message.
  • Notifications: to deliver coach messages and reminders.

3. How we use your data

  • Create and secure your account.
  • Deliver programs, workouts, nutrition plans and check-ins.
  • Track progress over time with your coach.
  • Enable in-app messaging and file sharing.
  • Send service-related push notifications.
  • Prevent abuse, debug crashes and maintain the service.
  • Comply with legal obligations.

We do not use Health & Fitness data for advertising or resale.

4. Legal basis (GDPR)

  • Contract – to provide the coaching service.
  • Consent – for progress photos, body measurements, Health Connect and similar data. You may withdraw consent anytime.
  • Legitimate interest – security and fraud prevention.
  • Legal obligation – tax, lawful requests.

5. Sharing

  • Your coach sees the data you share as part of your coaching relationship.
  • Sub-processors: Supabase (EU hosting), Google Firebase (push notifications), email delivery providers — each bound by a data-processing agreement.
  • Authorities – only when legally required.

We never sell your personal data.

6. Retention

  • Account and coaching data: kept while your account is active.
  • Technical logs: up to 90 days.
  • After account deletion: erased from active systems within 30 days; backups rotated within 90 days.

7. Account & data deletion

You may delete your account and associated data at any time:

  1. In-app: Profile → Settings → Delete my account.
  2. Web form: coachsystem.io/account-deletion
  3. Email: privacy@coachkonnect.io with subject « Delete my account ».

8. Your rights

Access, rectification, erasure, restriction, portability, objection, withdrawal of consent, and complaint to your supervisory authority (e.g. CNIL). Contact privacy@coachkonnect.io — we respond within 30 days.

9. Security

TLS encryption in transit, encrypted storage at rest, hashed passwords, restricted access to production data, monitored backups.

10. International transfers

Data is primarily hosted in the EU. When a sub-processor processes data outside the EU, we use Standard Contractual Clauses or equivalent safeguards.

11. Children

The app is not intended for users under 16. Contact us to delete a minor's account.

12. Changes

We may update this policy. The effective date at the top indicates the current version.
